How long is my data kept?
How far back your cost history goes depends on your plan. What you can see and what's permanently gone aren't quite the same moment, though — see "Is my older data actually deleted, or just hidden?" below for the 30-day grace period in between, and why it exists.
The windows, by plan
| Plan | History kept |
|---|---|
| Free | 30 days |
| Pro | 6 months |
| Business | 24 months |
| Scale | 36 months |
The window is how long TokenFront keeps history. How far back your first sync can reach depends on each provider's own API — OpenRouter exposes 30 days, and AWS Bedrock's cost and usage data goes back about 13 months — so a brand-new connection may start with less history than your plan keeps. From then on, nothing inside your window is dropped.
This applies to cost and usage history specifically — it doesn't affect your platform connections themselves, your account, your team, or anything else. Connections keep working and syncing new data regardless of plan.
Is my older data actually deleted, or just hidden?
Both, in sequence, with a safety net in between. The moment cost history falls outside your plan's window, it stops being shown — same as always. Behind the scenes, it's marked for deletion but kept for a further 30 days before it's actually removed for good. If your plan changes back within that 30-day window (say, a payment issue gets resolved and your account returns to Pro), that history comes back automatically, with nothing lost — you don't need to contact anyone or do anything to get it back.
Only after 30 days with no change does it get permanently deleted. If you're on Free and it's been 45 days since some usage happened without ever having had a higher plan in between, that data is genuinely gone by then.
What happens if I downgrade or switch plans
Whether you cancel (which returns you to Free at the end of your billing period) or switch from Business down to Pro, the same rule applies going forward: history older than your new plan's window stops being visible right away, then is permanently deleted 30 days later unless your plan changes back before then.
If a downgrade was caused by a billing issue (a card declined, for example) rather than a choice you made, fixing your payment method within that 30-day window restores everything — this is exactly the case the grace period exists for.
If you want to keep a permanent copy regardless, export what you need from Reports (CSV export) before you move down to a smaller plan. Free doesn't include CSV export, so on Free there's no way to get older history back out other than upgrading within the 30 days.
"You have cost history older than your plan doesn't show" banner
If you see this on your Dashboard or Reports page, it means real spend exists further back than your current plan's window — not that something's broken. It appears on any plan, not just Free: Pro, Business and Scale all have their own (longer, but still finite) cutoffs. The banner links to the next plan up with a longer window, or to Reports to export what you have if you're already on Scale.
Why isn't history just unlimited on every plan?
Keeping history bounded per plan keeps TokenFront's own storage and performance predictable as accounts age — the same reason most tools in this space (cost dashboards, observability platforms) tie retention to plan rather than keeping everything forever regardless of tier. Business's 24 months and Scale's 36 are intentionally generous relative to what similar tools offer at equivalent tiers.
